These Booking Terms and Conditions (“Terms”) govern all safari packages, tours, excursions, gorilla and chimpanzee trekking experiences, wildlife safaris, cultural tours, hiking experiences, accommodation arrangements, transportation and other travel services arranged or supplied by Ruku Safaris and Adventures Limited (“Ruku Safaris”, “we”, “us” or “our”).
By requesting a quotation, making a booking, paying a deposit or participating in a safari arranged by Ruku Safaris, the person making the booking (“the Client”, “you” or “your”) confirms that they have read, understood and accepted these Terms on behalf of themselves and all persons included in the booking.
These Terms should be read together with the Client’s quotation, invoice, itinerary and booking confirmation. Where a specific written condition in the quotation or invoice differs from these general Terms, the specific condition shall apply to that booking.
A booking is confirmed only after the required payment has been received, services are confirmed as available, and Ruku Safaris issues written confirmation. The lead traveller must be at least 18 years old and is responsible for providing accurate information for all travellers.
A 30% deposit is normally required to secure a booking, while the balance is generally due at least 45 days before departure. Last-minute bookings may require full payment immediately. Clients are responsible for applicable bank, currency-conversion and payment-processing charges and should use only official Ruku Safaris payment instructions.
Quoted prices are subject to availability and may change before confirmation because of accommodation rates, park fees, permits, taxes, fuel, exchange rates, flights and supplier charges. Gorilla and chimpanzee permits are subject to availability and the rules of the relevant wildlife authority. Refunds or changes to permits depend on those authorities’ policies.
Cancellations must be made in writing. The normal cancellation charges are:

Non-refundable supplier costs, including permits, flights, accommodation, park fees and visa fees, may also be charged.
No normal refund is provided for no-shows, late arrival, early departure, missed activities, unused services or voluntary withdrawal. Changes or postponements are subject to availability and may incur additional supplier, permit, accommodation, transport or administrative costs.
Ruku Safaris may modify an itinerary for safety, weather, conservation, government directives, road conditions, security, accommodation, transport or other operational reasons and will make reasonable efforts to provide suitable alternatives. Wildlife sightings and exact itinerary timings cannot be guaranteed.
Clients must follow driver-guide instructions and national park and wildlife conservation rules. Feeding or harassing wildlife, littering, disturbing animals, leaving designated routes without permission, or other unsafe or unlawful conduct is prohibited.
Clients are responsible for valid passports, visas, vaccination certificates where applicable, insurance, permits and other required travel documents. Comprehensive travel insurance is strongly recommended and should cover medical treatment, emergency evacuation, cancellation, interruption, baggage and other relevant risks. Clients must disclose relevant health, mobility, dietary and accessibility requirements before confirmation.
Personal and optional expenses such as international flights, visas, insurance, laundry, souvenirs, shopping, medical expenses and optional activities are the Client’s responsibility unless specifically included. Special requests are subject to availability and may attract additional charges.
Clients are expected to behave responsibly toward other travellers, staff, local communities, wildlife and the environment. Serious misconduct may result in termination of the safari without refund for unused services. Problems should be reported immediately, while unresolved complaints should normally be submitted in writing within 30 days after the safari.
Ruku Safaris is not responsible for delays or losses caused by circumstances beyond its reasonable control, including natural disasters, extreme weather, government restrictions, war, civil unrest, strikes, road closures, wildlife incidents and transport disruptions. Any refund in such circumstances depends on amounts recoverable from suppliers or authorities.
Disputes should first be resolved through good-faith communication. The Terms are governed by the laws of the Republic of Uganda, with Ugandan courts having jurisdiction where applicable. By booking, paying a deposit or participating in a safari, the Client confirms acceptance of these Terms.
Before paying a deposit, Clients should carefully review the itinerary, accommodation, inclusions and exclusions, payment schedule, cancellation conditions, permit requirements, travel documents, insurance requirements and any special conditions in the quotation or invoice.
